How to Calculate GST on Invoices Correctly

Correct GST calculation on invoices is essential for compliance and avoiding penalties. Here is how to get it right.

Step 1: Determine the correct GST rate. Verify the applicable slab for your product or service from the official GST rate schedule. Common rates are 5%, 12%, 18%, and 28%. Do not assume 18% applies to everything — food, healthcare, education, and essential goods often use lower rates or are exempt.

Step 2: Calculate the tax amount. For adding GST to a net price: multiply the net amount by the GST rate percentage. For example, a ₹10,000 service at 18% GST: tax = 10,000 × 0.18 = ₹1,800.

Step 3: Determine CGST/SGST or IGST. If the customer is in the same state, split the total GST equally between CGST and SGST. If in a different state, show the full amount as IGST.

Step 4: Display clearly on the invoice. Show the net amount, CGST, SGST (or IGST), and gross total as separate line items. Include your GSTIN (GST Identification Number), the customer's GSTIN (if applicable), invoice number, date, and HSN/SAC codes for the goods/services.
